Exhibitors

All Chinese and foreign manufacturing companies are eligible to exhibit at CIM 2010. If any company wishes to exhibit its products through one of its agents, the latter must attach the written agreement of the company for which he is agent to his application. Publishers of the technical, scientific and periodical press, all organizations, associations, institutes etc., recognized as promoting, supporting or carrying on major activities relating to plastics and rubber and keeping in with the characteristics of the exhibition, may also be admitted. Moreover, small handicraft firms in the field of plastics and rubber may be admitted at CIM 2010.

 

Participation Fees and Other Charges

The following net participation fees have been set for CIM 2010; Minimum size of raw space application is 36 square meters and minimum size of standard booth application is 9 square meters.

Withdrawal fee within 30 days upon Contract subscription USD1000.

Additional lists in the Official Catalogue USD2 / word

Charges for additional services will be printed on the respective order forms in Exhibitor Manual.

Show correlative adverting

Back of the visitor’s ticket: total 800,000 tickets, RMB 3000 Yuan for 10000 tickets, min. 10000 tickets; RMB 30000 Yuan for sole advertising.

 

Visitors’ cards and strings: Adverting for Visitors’ cards and strings only for sole advertising, visitors’ cards and strings made from electronic information logging on system.

 

Bags: 30000 bags will be made to distribute during the show, only for sole advertising, RMB 40000 Yuan.

 

Terms of Payment

The invoice for participation charges will be sent to the exhibitor together with the confirmation of admission and the allocation of space. All complaints must be submitted in writing immediately upon receipt of the invoice. Objections raised at a later date shall be disregarded.

50% deposit is payable 15 days within the date of the invoice for participation charges issued by CLIMC. The remaining 50% is payable by 15th, Jul. 2010(60 days before the opening of CIM 2010 ). Invoices issued after 15th, August 2010 are payable immediately in full.

Invoices for miscellaneous services or for supplies ordered separately should be settled at the time the service were provided or the supplies effected, at the latest by the date of the invoice.

Payment from abroad by foreign companies must bear the cost of relevant bank expenses.

Remittances should be endorsed with the invoice number, marked CIM 2010 and made out in favour of :

If payment of the invoices is not effected by the exhibitor within the stipulated periods, CLIMC shall have the right (also in the event of space not fully paid for) to withdraw from the contract with regard to all space rented by the exhibitor and to dispose of this space otherwise for compensation of costs. For all outstanding liabilities, CLIMC may retain the stand equipment and products of the exhibitor concerned as security. If payment is not made within the stipulated period CIM 2010 is entitled, after written notification, to sell the retained items at their discretion. CLIMC is not responsible for damage to and /or loss of the retained items, other than in the case of deliberate negligence or recklessness.

Included with Exhibit Space

The Participation Fees include the following services:

-Entry of exhibitor’s name and profile in the alphabetical list and in the Index of Exhibits in the Official Catalogue of the exhibition and one copy for each exhibitor.

-Guest invitation forms for your customers and prospects

-Every exhibitor will receive 3 exhibitor passes, free of charge, for a stand measuring up to 9sq.m, one extra exhibitor pass will be made available for each additional 9sq.m or part thereof, up to a maximum of 50 passes. Additional exhibitor passes for which the exhibitor will be invoiced can be order in writing from the Organizer.

-Equipment for 9sq.m Standard booth consisting of 2.5m high stand partition walls, carpeting, 1 desk, 2 chairs, 2 spotlights, electrical outlet for lighting; Fascia board with booth No. and the exhibitor’s name in Chinese & English

-Twenty-four hour security at the entrances and perimeter of the exhibit floor from the beginning of installation through the end of dismantling.

-A copy of the official post-show audience survey.

-Staff of floor managers to assist you with any challenges you might face during the on-site operation of CIM 2010.

 

Application for Space

Applications for space shall be made with the relevant application documents duly filled in and signed and sent back to APPLAS - NO.33, Xihuangchenggen South Street, Xicheng District, Beijing 100032, P.R. China.

Only applications drawn up according to these General Regulations, signed and accompanies by remittance of the deposit payment of the participation fee are taken into consideration. Applications made subject to conditions or reservations cannot be taken into consideration. Every endeavor will be made to meet requests for specific sites, but such requests cannot be recognized as a condition for participation.

CLIMC reserves the right to accept or refuse the space application. In case of non-acceptance of the registration form, CLIMC must refund the sum expended by the applicant without refund of any interest rates.

Closing date for application is on 15th, Aug 2010. Applications arriving after this deadline will be placed on the waiting list for space.

 

Allocation of Stand

Stand allocation will be decided with unquestionable judgment by CIM 2010 management, according to eventual exhibits criteria and the fairground features.

Exhibitors will receive the Contract signed by CLIMC to confirm the booth No. that they have been admitted with. This confirmation applies only to the designated exhibitor.

CLIMC reserves the right to cancel a stand booking approved on the basis of misleading or false information or if the requirements for participation are no longer met or the booking is no longer in accordance with the admission regulations.

If the allotted space is not available for reasons beyond the control of CLIMC,  the exhibitor may claim a refund of the space rental cost, there will be no claims for damage.

CLIMC may, if required by circumstances and specifying its reasons for doing so, and bearing in mind what is reasonable for the exhibitor, deviate from the notice of admission by allocating space in another position or reducing or increasing the stand size. It reserves the right to alter entrances and exits to and from the fairgrounds and the hall, as well as passages.

 

Cancellations and Reduction of Space

Applications can be withdrawn up free until space confirmation by Contract signed by CLIMC. A withdrawal fee must be paid if an application is cancelled by the exhibitor within 7 days upon the date of the Contract signed by CLIMC. Management will not accept any cancellation of application by Exhibitor for any reason, subsequent to 30 days upon subscription of the Contract. The participation charges shall be payable in full by the exhibitor together with any costs actually entailed. Should CLIMC make alternative use of unoccupied areas to improve the general appearance of the show, the exhibitor who reserved the space shall not be released from his financial obligations. CLIMC shall have the right, without further notice to Exhibitor, to use said space to suit its own convenience, including selling the space to other exhibitor(s).

 

Official Catalogue

CLIMC will publish the Official Catalogue for the event. CLIMC reserves the right to sell the catalogue. The catalogue contains: an alphabetical list and Index of Exhibits, the exhibition plan, other useful information and advertising.

Exhibitors are provided with full details on catalogue entries and advertising possibilities by the attached Application form. No claims can be entertained for incorrect, incomplete or omitted entries. The exhibitor shall be responsible for the content of the entries and for any damage incurred through the publication thereof. Companies that do not exhibit at CIM 2010 cannot utilize the advertisement in the Catalogue.

 

Publicity Activities in the Exhibition Grounds

Exhibits, the distribution of leaflets and promotional material shall be confined to the exhibitor’s own stand area and are not permissible in the hall aisles or elsewhere in the exhibition grounds. For advertising in the exhibition grounds please see the Exhibitor Manual for further details. Publicity shall be confined to the promotion of the exhibitor’s products and shall not be in breach of statutory regulations or good taste, nor shall it be of an ideological or political nature.

Optical, mobile and acoustic publicity aids and product presentations are permitted providing they do not disturb neighbouring exhibitors or render inaudible the public address system in the halls. If these regulations are infringed CLIMC can intervene and demand immediate modification.

 

Technical Services

The Exhibitor Manual will be forwarded to all exhibitors on Mar 2010 against the stand allocation. The manual contains the technical executive regulation s and application forms relating to technical services requirements and other installations, in addition to eventual commercial services.

 

Stand Construction and Design

Standard Booth construction work are undertaken by the constructer which appointed by Organizer. No configuration is offered to raw space. The stand construction work undertaken by the exhibitor shall conform with the statutory requirements and with the regulations laid down by the local authorities.

The pavilions are open for construction of the stands during the days preceding stipulated (see Exhibitors’ Manual).

After the closing of the exhibition the stands must be dismantled and cleared at by the deadline (see Exhibitors’ Manual). In case of non-fulfillment of the exhibitor, CLIMC, declining all responsibility for the goods, materials and items inside the stand, reserves the right of collecting and storing such goods. Cost and risks connected with such an action must be borne by the defaulting exhibitor.

Only the forwarding agents appointed by CLIMC shall be permitted to handle consignments within the exhibition grounds, i.e. unloading, handling of technical equipment, transport to the stand, and to undertake customs clearance for temporary or permanent importation.

 

Operation of Exhibition Stands

During the exhibition opening hours the stand must be manned by a sufficient number of staff and should be accessible to visitors. Products or services not included in the Index of Exhibits cannot be exhibited. CLIMC has the right to remove non-approved exhibits at the cost of the exhibitor. The exhibitor is permitted to accept orders for /sell/advertise those exhibits /services which are listed on the admission documents. Exhibits may not be removed from the stand until after the event has ended. Selling from the stand prior to the end of the show is not permitted. The operation and demonstration of exhibits can only be carried out within the framework of accepted standards.

Each exhibitor is responsible for the removal of his own waste/residual matter. CLIMC arranges for the cleaning of the Exhibition Center, the halls and the aisles.

 

Machinery in Operation

Exhibitors are allowed to operate their machines--provided this causes no inconvenience to other exhibitors – either during all the hours the exhibition is open or at intervals, depending on the decision of the management of CIM 2010, in compliance however with the regulations in force concerning safety measures, accidents and fire prevention.

In no case will CIM 2010 and CLIMC be held responsible.

 

Exhibition Insurances Coverage and Exclusion of Liability

CIM 2010 has drawn up a basic contract that covers all reasonable insurable risks at an exhibition such as fire, burglary, theft, breakage, leakage and water damage, including risks during the delivery and removal of exhibits. Under the terms of this basic contract, exhibitors can obtain cover, at their own expense, for risks during participation at the event. Exhibitors who do not avail themselves of the insurance cover offered by the basic contractor or fail to do so in time, forfeit the right to claim against CLIMC for damages that would have been covered if the proposed insurance had been taken out. All damages and losses must be reported immediately to the police, the insurance company and CLIMC.

CLIMC accepts no responsibility for looking after exhibits and stand fitments and expressly excludes all liability for any loss or damage. This exclusion of liability is in no way limited by the security services provided by CLIMC.

 

Job Safety and Damages Caused by Exhibitors

Exhibitors are responsible for the compliance of the law and rules concerning safety within their own stand. Exhibitors must adhere to the requirements of the Executive Technical Regulations and other eventually laid down by CLIMC in order to prevent fire as well as guarantee the compliance of the safety measures.

Exhibitors are liable for all damage caused to installations and equipment placed at their disposal. Standard booths must be left in the same condition as when they were handed over. Restoration costs for possible alterations made or damages caused are charged to the exhibitor.

 

Local Regulations

Exhibitors must comply with all local rules and regulations in force and above all with the regulations for fire and accident prevention.

 

Force Majeure

Should it be necessary, for reasons beyond their control, and whilst considering the interests of the exhibitors in carrying it out, CLIMC has the right to postpone, curtail, extend, temporarily close, in part or completely, or cancel the trade fair.

In such justifiable, exceptional circumstances, as in all cases of force majeure, exhibitors shall not be entitled to rescind their contract, claim damages nor reduction of participation charges.

 

Final Condition

By signing their application exhibitors bind themselves to accept the General Information and Regulations and all the integrative provisions which are decided on by the management in the interest of the exhibition.
